Hiring Support: Practical Tips for Coaches

When starting out, many coaches think they can or should do it all. However, as time goes on it becomes apparent that delegating certain things would make the business far more efficient and make their lives a whole lot easier!

Trying to take on too much yourself leads to long working hours and lots of stress that will ultimately, lead to burnout. By outsourcing certain tasks to others, you can focus on what you do best – coaching your clients!

“When deciding on who to delegate tasks to, it’s a good idea to try and find professionals who have worked with coaches before so that your business model is represented in their processes.

There are all sorts of things you can fill your days with as a coach. If you’re not careful, you’ll find yourself forever busy with tasks that neither fill you up nor move your business forward. Constantly tweaking your website and bios, managing your inboxes on 8 platforms, and trying to figure out a dozen different techy tools that are supposed to be making your life easier.

It leaves little time for what you actually love: coaching.

Then there’s big-picture thinking, learning new skills, and launching that new podcast, book, or new program idea you’ve been sitting on for months. And I haven’t even mentioned enrolment yet. It’s hard for your business to grow if you’re not regularly in enrolment conversations.

Just because you can do something, it doesn’t mean you should.

What’s been most helpful for me is delegating things that are repetitive and clearly not in my zone of genius. That includes bookkeeping, social media content scheduling, and staying on top of my busiest online inboxes. It doesn’t have to be so task oriented either. One of the most impactful things I’ve done is hired Moriah to break my big ideas down into project plans that can be executed and to keep me accountable for bringing them to life.” – Robb Gilbear, Founder + Coach, Growth Habit

Here are some of the elements of your business that you might want to consider getting some support with, along with the reasons why:

Bookkeeping and Accounting

Not everyone is great with numbers! If the financial side of your business is disorganized, taking up too much of your time, and causing you stress, you might want to bring in a professional to help. Services can include bookkeeping, cash flow forecasting and planning, tax planning, tax filings and so on.

Hiring a bookkeeping or accounting professional can help you better understand your finances as they have the tools to break things down and explain your situation in plain terms.

Not only can they save you time and stress, but they can also help you make smarter business decisions by analyzing your financial data for you and providing expert guidance.

Website Design and Maintenance

Your website is a key part of your business! It’s often the first impression potential clients will have of your business and coaching services. It’s important that it represents your brand and is simple to navigate. This means having a site that looks visually appealing and also thinking about it from an accessibility perspective. Having counter-intuitive website navigation or fonts and colour schemes that don’t meet accessibility standards can frustrate potential clients and deter them from working with you.

If website design isn’t in your wheelhouse, you might want to consider hiring a professional website designer and developer to ensure that your site is both visually appealing and user-friendly to better the experience of both your current and potential clients.

Marketing and Social Media

Maintaining an active presence on social media can be time-consuming and overwhelming. If you’re not a marketing expert, it can be challenging to promote your coaching services effectively. Outsourcing your marketing and advertising efforts to a professional will help you reach your target audience and generate more leads. Marketing professionals are often able to identify the best ways to use platform algorithms and trends to promote your services and reach a larger target audience.

Another professional to consider hiring would be a social media manager. Having someone to manage your social media will ensure that your profiles are regularly updated. They can also be in charge of engaging with followers and viewers so that you don’t have to sacrifice your valuable coaching time.

Project Management and Accountability Support

As a coach, you’re likely a one-person team, and you may find yourself overwhelmed with all there is to do in your business. You might struggle to put all the big ideas you want to roll out into place. Whether that’s writing a book, launching a new program, or doing a TEDx talk, big creative ideas take time to conceptualize and put into action. And, they need a plan.

Consider hiring a project manager to help bring your big ideas to life and to get more done without the overwhelming stress or disorganization. An effective project manager should be able to help you break your big ideas down into easy-to-follow project plans and help you get started, gain momentum, stay accountable, and get everything done.

At Vibe High, we help coaches stay on top of their projects and maintain focused action on priorities. We do the legwork when it comes to fleshing out projects and timelines and breaking work down into small, actionable pieces; establishing systems and processes, and helping clients eliminate roadblocks in getting things done.

Administrative Tasks:

In a lot of cases, it’s the small and tedious tasks that end up taking the most energy and time out of your day. They can also be the go-to tasks we jump to if we’re procrastinating on something more important. If you find that you’re spending too much time organizing your inbox, managing appointments, updating databases, and so on, it may be a good idea to consider hiring an administrative assistant.

An administrative assistant would be able to handle tasks such as scheduling appointments, responding to emails, and managing your calendar. This will free up your time and allow you to focus on revenue-generating areas of your business and what you’re ultimately here to do – coach your clients.

In conclusion, outsourcing certain aspects of your coaching business can help you save time, reduce stress, and ultimately grow your business in a sustainable way. Just remember to choose your vendors carefully. Ensure that they share your values, understand your business and goals, and are aligned with your commitment to excellence!
