Where did the time go? (here’s the fix) 🛠️

May 20th 2025

Ever feel like you did everything right – you planned your week, blocked your time… and yet by Friday you’re left wondering:

“Where did the time go?”

If so, you’re not doing it wrong – you’re already doing a lot right.

What you might be missing isn’t effort or intention…

It’s clarity.

The kind of clarity you only get when you track, not just plan.

Planning helps you set intentions.

Time tracking shows you the truth.

When you update your time blocks to reflect what actually happened, it’s like switching from a blurry photo to HD.

Here’s what becomes possible:

  • Stay focused and accountable
Knowing you’ll track your time is another tool to help you resist distractions and follow through.
  • Minimize context switching
Tracking your work highlights where your time gets fragmented, nudging you toward batching similar tasks together to create better flow and lose less time.
  • Spot patterns and plan smarter
See how long tasks really take – so you can stop underestimating and plan future work more effectively.
  • Catch unhelpful habits + restore balance
Tracking reveals time and energy leaks. It also shows whether work is crowding out the rest of our lives. Both matter.
  • Set boundaries with confidence
When you start to become familiar with your true capacity, it’s easier to say “no” to additional requests with zero guilt.
  • Celebrate progress with data
Your calendar can become the cornerstone of your weekly review. Look back on your week to reflect, adjust, and stay motivated – acknowledging progress keeps us in motion, even when outcomes aren’t instant.

PRACTICE: How to Track Time

Step One:

As you move through your day, update the time blocks in your calendar to reflect how much time it actually took you to do each task. Use 15-minute increments to keep it simple.

Step Two:

Add time blocks for anything you do that wasn’t on the schedule. That might include things like unplanned interruptions and distractions, like checking social media when you didn’t mean to.

Step Three:

The next time you schedule similar work, reference your past calendar entries to see how long things took. This will help you more accurately plan your work.

Time tracking isn’t about being rigid. It’s about being realistic.

You’ll finally answer the big question:

“Where did the time go?”

…and have the data to do something about it.
